Van Clan Campers – Terms & Conditions

1. Definitions

1.1"Booking" means the confirmed reservation of a campervan for specific dates.

1.2"Booking Fee" refers to the full cost of the hire, which must be paid at the time of booking- through our plug in Provider Bookalet or on occasion manually by VanClan through Wix Payment provider/Wix Website.

1.3 "REFUNDABLE Security Deposit" refers to the refundable amount held on the customer’s card to cover damage, excess, or other charges.

1.4 "Campervan" means the vehicle hired from Van Clan Campers.

1.5 "Customer" refers to the person making the booking.

1.6 "Van Clan Campers"/ " Van Clan"  "we/us" refers to the business providing the campervan rental services.

1.7 " Rental Agreement" is a contract between customer and Van Clan outlining the details of hire that are to be agreed on before  the customer departs. The customer is entitled to take photographs of the van as part of this agreement.

2. Booking & Payment

2.1 All bookings must be paid in full at the time of reservation.

2.2 A refundable security deposit will be held via card pre-authorisation before departure. This is £1000 and is released on safe return of the vehicle with a full tank of fuel 

2.3 Van Clan reserve the right to deduct from the Security deposit for any of the following;

  • insurance excess in event of claim ( up to £750) 

  • internal damage or breakage

  • External damage to paintwork not previously noted 

  • Late fee of more than 2 hours ( Charged at £20 per hour) 

  • Cleaning fee of £20 if the van is returned excessively dirty or with excessive pet hair.

  • Any cleaning circumstance that will require Van Clan to source an external professional cleaner

2.3 Booking confirmation will be sent by email once full payment is received and dates are confirmed by Van Clan Campers.

2.4 Child seats must be fitted by the customer.

 3 Handover

3.1 Proof of address must be received by Van Clan Campers before travel.

3.2 The customer understands Van Clan will run a DVLA check code.​

3.3 Handover times are to be agreed between customer and Van Clan in accordance with subsequent hires. In the event of a same day turn around the Van must be returned by 12pm. This will be communicated to customer ahead of time. 

4. Cancellations & Refunds

4.1 You may cancel within 24 hours of booking for a full refund (if the hire is more than 30 days away).

4.2Cancellations made more than 30 days before the hire start date will receive a full refund.

4.3 Cancellations made between 14 and 30 days before the hire start date will receive a 50% refund.

4.4 Cancellations made within 14 days of the hire start date will receive no refund.

4.5 If Van Clan Campers must cancel due to vehicle issues or unforeseen circumstances, a full refund will be issued.

5. Insurance & Liability

5.1 Comprehensive self-drive hire insurance is provided through Alan Boswell and are agreed to before departure in the " Rental Agreement" available also on request as well as in hardcopy in each of the vehicles. 

5.2 Insurance excess applies and the customer is responsible for covering this in the event of a claim. The excess for our policy is £750

6. Breakdown & Support

6.1 Each vehicle comes with 24/7 breakdown cover provided by the RAC

6.2 If breakdown occurs a fair amount of time must be given for the vehicle o be repaired -if the vehicle cannot be repaired within 24 hours, a refund will be offered for days that the customer has lost off their trip. 

6.3All breakdowns must be reported immediately to allow for resolution.

 

7. Pets & Smoking

​7.1 Pets are permitted on request 

7.2 An extra cleaning fee of £20 may be applied if vans are returned unclean due to pets.

7.3 Smoking is strictly prohibited inside all campervans.

8. Return Conditions & Late Fees

8.1 Campervans must be returned at the agreed time, in a clean state, with a full tank. 

8.2 Cleaning fees may apply for excess dirt or failure to refill fuel.

8.3 Returns later than 2 hours after the agreed time are charged at £20 per hour.

 

9 Complaints Procedure

9.1 All complaints must be raised and as soon as possible to allow remedy during the hire period if possible.

9.2 If unresolved, further complaints are welcomed by email within 28 days of the return date.

10. Liability, Insurance & Usage Restrictions

10.1 Public Liability Insurance has been adequately arranged by Van Clan Campers and details are available on request. This cover is also provided by Alan Boswell.

10.2 VanClan accept no responsibility for belongings lost.

10.3. Usage of any sporting equipment e,g maps, hiking poles, kayak is at the owners risk. 

10.4The van must not be used outside the UK.

10.5 The van must not be used for the transportation of goods.

10.6 All drivers and renters must abide by the insurance regulations

11. Legal Jurisdiction

11.1 These Terms & Conditions are governed by the laws of the United Kingdom.

11.2Any disputes shall be resolved in UK courts.
