1. Definitions
1.1 Booking

A confirmed reservation of a campervan for specific dates.

1.2 Booking Fee

The total cost of hire, payable in full at the time of booking via Bookalet or, where applicable, via Wix Payments.

​

1.3 Refundable Security Deposit

A refundable amount held on the customer’s card to cover damage, insurance excess, or additional charges.

​

1.4 Campervan

The vehicle hired from Van Clan Campers.

​

1.5 Customer

The individual making the booking.

​

1.6 Van Clan Campers ("Van Clan", "we", "us")

The business providing campervan rental services.

​

1.7 Rental Agreement

The agreement signed prior to departure outlining the condition and terms of hire. Customers may take photographs of the vehicle as part of this process.

​

2. Booking & Payment
2.1 All bookings must be paid in full at the time of reservation.

​

2.2 A refundable security deposit of £750 will be held via card pre-authorisation prior to departure. This will be released upon the safe return of the vehicle with a full tank of fuel.

​

2.3 Van Clan reserves the right to deduct from the security deposit for:

• Insurance excess in the event of a claim (up to £750)
• Internal damage or breakages
• External damage not previously recorded
• Late returns exceeding 2 hours (£20 per hour)
• Cleaning fee of £20 if returned excessively dirty or with excessive pet hair
• Any additional costs requiring professional cleaning

2.4 Booking confirmation will be issued via email once payment has been received and dates confirmed.

​

2.5 Child seats must be fitted by the customer.

​

3. Handover
3.1 Proof of address must be provided prior to travel.

 

3.2 UK licence holders must provide a valid DVLA check code for licence verification.

 

3.3 Handover and return times will be agreed in advance. For same-day turnarounds, vehicles must be returned by 12pm, unless otherwise agreed.

 

4. Driver Eligibility & Licence Requirements

4.1 All drivers must meet the following requirements in order to hire a campervan from Van Clan Campers.

 

4.2 Age Requirements

Drivers must be between 21 and 75 years old at the time of hire.

 

4.3 Driving Licence

Drivers must hold a full, valid driving licence that has been held for at least two years.

 

4.4 Penalty Points

Drivers must have no more than 6 penalty points on their licence. Drivers with more than 6 points may not be eligible to hire the vehicle due to insurance restrictions.

 

4.5 International Licences

We may accept licences issued in South Africa, the United States, and Canada, however additional terms and insurance conditions may apply. Customers with licences issued outside the UK are advised to contact us prior to booking so we can confirm eligibility.

4.6 Licence Verification

All drivers must provide:

• A valid driving licence
• A DVLA check code (for UK licence holders)
• Proof of address if requested

Failure to provide the required documentation may result in cancellation of the booking.

5. Cancellations & Refunds
5.1 Cancellations within 24 hours of booking are fully refundable, provided the hire start date is more than 30 days away.

​

5.2 Cancellations made more than 30 days before the hire start date will receive a full refund.

 

5.3 Cancellations made between 14 and 30 days before the hire start date will receive a 50% refund.

 

5.4 Cancellations made within 14 days of the hire start date are non-refundable.

 

5.5 If Van Clan cancels due to vehicle issues or unforeseen circumstances, a full refund will be issued.

 

6. Insurance & Liability

6.1 Comprehensive self-drive hire insurance is provided through Alan Boswell and must be agreed to before departure as part of the Rental Agreement.

6.2 The customer is responsible for the insurance excess of £750 in the event of a claim.

​

7. Breakdown & Support
 

7.1 All vehicles include 24/7 RAC breakdown cover.

 

7.2 In the event of a breakdown, reasonable time must be allowed for repair. If the vehicle cannot be repaired within 24 hours, a partial refund will be issued for lost hire time.

 

7.3 All breakdowns must be reported immediately.

8. Pets & Smoking
8.1 Pets are permitted upon request.

​

8.2 A £20 cleaning fee may be applied if the vehicle is returned with excessive pet hair or dirt.

 

8.3 Smoking is strictly prohibited in all campervans.

​

9. Return Conditions & Late Fees
9.1 Campervans must be returned on time, clean, and with a full tank of fuel.

 

9.2 Additional cleaning or refuelling charges may apply if these conditions are not met.

 

9.3 Returns more than 2 hours late will be charged at £20 per hour.

 

10. Complaints Procedure
10.1 Any issues should be raised as soon as possible during the hire period to allow for resolution.

 

10.2 If unresolved, complaints may be submitted via email within 28 days of the return date.

 

11. Liability & Usage Restrictions
11.1 Public liability insurance is in place and details are available upon request.

 

11.2 Van Clan accepts no responsibility for lost or damaged personal belongings.

 

11.3 Use of any additional equipment (e.g. maps, hiking gear, kayaks) is at the customer’s own risk.

 

11.4 Vehicles must not be taken outside of the UK.

​

11.5 Vehicles must not be used for the transportation of goods.

​

11.6 All drivers must comply with insurance requirements.

​

12. Legal Jurisdiction
12.1 These Terms & Conditions are governed by the laws of the United Kingdom.

​

12.2 Any disputes will be subject to the jurisdiction of UK courts.
